Privacy Policy

This policy explains what YourCarBid collects when you use the platform to sell a vehicle or to buy as a licensed dealership, why we collect it, who receives it and what control you have over it.
1. Information we collect
We collect only what is required to run an auction and close a sale. You provide most of it directly; some is derived from public vehicle databases.
- Account information: name, email address, password hash and, where you provide it, a telephone number.
- Vehicle information: VIN, decoded factory specification, mileage, ZIP code, colour, title status, condition disclosures and the photographs you upload.
- Financial information relating to the vehicle: lien holder and approximate loan payoff amount, where a lien exists. We do not collect card numbers or bank credentials through this site.
- Identity verification records where required to transfer a title, reviewed by platform administrators.
- Dealer information: dealership name, licence number, bond and resale documentation, and the buying criteria a dealer configures.
- Technical information: IP address, browser and device type, and pages viewed, used for security, abuse prevention and aggregate analytics.
2. How we use it
Your information is used to decode your vehicle, produce a valuation, run the auction, verify participants, coordinate transportation, lien payoff and title transfer, and to contact you about your own listing.
We do not sell seller information as a lead. Your contact details are not distributed to dealers who did not win your auction.
3. Who we share it with
We share the minimum necessary with the parties who make a sale possible.
- Verified licensed dealerships see the vehicle, its condition profile, photographs and general location. They do not see your reserve price, your contact details or competing bid amounts while an auction is running.
- The winning dealership receives the information required to complete the purchase, including your name and the handoff details you supply.
- Service providers acting on our instructions: hosting and database infrastructure, transportation partners, title and lien payoff processors, payment processors, email delivery and error monitoring.
- Government agencies or law enforcement where we are legally required to do so, and professional advisers in connection with a corporate transaction.
4. Vehicle history and third-party data
Vehicle specification is decoded from the United States National Highway Traffic Safety Administration vPIC database. Valuations are modeled from wholesale comparables and depreciation curves and are estimates, not appraisals or offers.
5. Retention
Listing, auction and transaction records are retained for as long as required for tax, title and dispute purposes, and typically no less than four years after a completed sale. Draft listings that are never published are deleted after twelve months of inactivity. You may request deletion of your account at any time, subject to those retention obligations.
6. Security
Data is encrypted in transit and at rest. Vehicle photographs are stored in a private bucket accessible only to you, verified dealerships bidding on that vehicle, and platform administrators. Access to production data is limited to personnel who need it.
7. Your California privacy rights (CCPA / CPRA)
If you are a California resident you have the right to know what personal information we collect and how we use and disclose it, to request a copy of it, to request correction, to request deletion, and to limit the use of sensitive personal information. You will not be discriminated against for exercising any of these rights.
We do not sell personal information and we do not share it for cross-context behavioural advertising as those terms are defined under the CPRA.
To exercise a right, email privacy@yourcarbid.com from the address on your account. We verify requests before acting on them and respond within the statutory period.
8. Children
The platform is not directed at anyone under 18 and we do not knowingly collect information from minors.
